Accepted Applicant Decides Not to Rent

Sometimes, applicants change their mind at the last minute and decide not to move forward with the rental. While this can be disappointing, it's important to keep your records accurate.

If this happens, we recommend leaving the application status as Accepted. This preserves an accurate history of the application and clearly reflects that the applicant was accepted but later chose not to continue.

Maintaining accurate records may also be helpful if you ever need to reference your application history for documentation or legal purposes.

If the Applicant Decides Not to Move Forward

The best way to continue forward is to add a note in the application explaining what happened:

  1. Go to Applications.

  2. Select the Accepted application.

  3. In the Your Notes section, click Edit.

  4. Add a note such as:

"{Applicant Name} decided not to rent {Unit/Property Address}. The application was accepted, but the applicant withdrew and chose not to continue with the leasing process."

This ensures your records accurately show that the application was accepted and that the applicant chose not to move forward.

Don't worry, the note is internal (only for you) and never shared with the applicant.
