How to Archive a Charge

If a tenant owes a charge you are no longer going to collect, such as an old balance from a tenant who has moved out, you can archive it. Archiving keeps the charge on the unit's ledger for your records, but removes it from the balances you and your tenant see as owed. It is a good alternative to deleting a charge when you still need the record for accounting or legal purposes.

What happens when you archive a charge

  • The charge stays on the charges section with an ARCHIVED badge, and any payments already recorded on it are kept.

  • It no longer counts toward the unit's Balance Due or Rent Due.

  • It is removed from the tenant's Payments Due, so the tenant is not asked to pay it.

  • Late fees and rent reminders stop for that charge.

  • AutoPay skips it.

  • You can restore an archived charge at any time, and it goes back into the amounts owed.

Archive a charge

  1. On your RentRedi dashboard, click All Charges Due, click on "Due", or open Properties and Units, select "Units", Select the unit name where the charge is, and click the Charges tab.

  2. Find the charge you want to archive and click the three dots Select an Action.

  3. Click Archive Charge.

  4. A pop-up will ask you to confirm. Click Archive to finish.


The charge now shows an ARCHIVED badge and is no longer part of the balance due.



Restore an archived charge

  1. Find the archived charge on the unit's charge list.

  2. Click on the charge

  3. Click Select an Action, then click Restore.

  4. Confirm in the pop-up.



The charge returns to its previous status and counts toward the balance due again. If it is past its due date, late fees and reminders resume the following day based on your settings.

Archive vs. delete

  • Archive when you want to stop collecting but keep the record. The charge and its payment history stay on the ledger.

  • Delete when the charge was created by mistake or you no longer need it in the record. Deleting removes the charge permanently, but you can always create a new one. See How to Delete a Charge.
